Operations Vice President of Operations - Digital Agency at Urban Insight

Vice President of Operations leads delivery organization and internal operations for a digital agency, managing project execution, resource allocation, and strategic business execution.

Exec Remote Posted 1 day ago RemoteFirstJobs Product
What this role involves

This role is for someone who has led delivery or operations inside a digital agency or studio that builds websites, web apps, or custom software for clients. That experience is the core requirement. Who We Are

Urban Insight is a leading digital agency creating innovative websites and web applications for organizations that make a difference. We specialize in solving complex problems through website strategy, design and development using open source content management systems (primarily, Drupal and WordPress, and headless architectures). Our clients include some of the most well known museums, nonprofits, universities, cities and more.

Urban Insight has been in business for 25+ years and continues to expand each year. We thrive on having a professionally rewarding environment where team members are encouraged to grow.

Opportunity

The Vice President of Operations (remote, U.S. based position) reports directly to the CEO and is the company’s number two. As the VP of Ops you will have two core responsibilities: (1) be the operational catalyst and strategic navigator of our organization and (2) lead the delivery organization as our core revenue engine.

In this pivotal role, you will be a thought partner to the CEO and executive team in driving the company forward. You will lead the efficient execution of our business strategies, ensuring the seamless integration of our operations, and fostering a culture of excellence and innovation. Revenue functions sit within your view from day one, but they are a secondary priority. Your first mandate is to strengthen delivery and internal operations. As those mature, you will take on a larger operational role across the revenue functions.

This role is ideal for a motivated, energetic leader with a high sense of urgency who wants to help take an organization to the next level.

Responsibilities

  • Delivery Leadership: Own the delivery organization as a revenue-generating engine: accountable for project execution quality, on-time and on-budget performance, resource allocation, and margin. Define delivery standards, own capacity planning against project demand, and ensure the PM function is structured and resourced to lead complex engagements end to end.
  • Business Cadence & Strategic Execution: Own and operate the company’s planning and execution system (EOS) annual goal-setting, quarterly rock planning, and weekly leadership rhythms. Translate strategic direction into clear execution plans, drive the leadership team to results, and hold leaders accountable to their commitments. Serve as a thought partner to the CEO on strategy and the operational levers that enable sustainable revenue growth.
  • Internal Operations: Develop and scale internal processes and systems across the business (tooling, workflow, and admin), ensuring the organization runs efficiently and can support continued growth.
  • Talent & Culture: Own recruiting, onboarding, and performance management to consistently hire and retain A players at every level. Lead employee engagement and culture as an ongoing operational function. Own the employee experience from hire to departure, including the HR processes that support it.
  • Operations & Business Metrics: Own the company’s operational performance metrics including utilization, project margin, revenue mix, pipeline health, and capacity. Build visibility into the right agency levers, interpret trends, and drive data-informed decisions that optimize how the business performs with its current resources.
  • Leadership & Management: Coach and develop the next layer of leaders into effective department owners. Close the gap between strategy and execution by ensuring leaders have clear plans, the right support structure, and real accountability for results.
  • Revenue Functions: As a secondary priority to delivery, coach and manage sales, business development, marketing and estimating functions to drive profitable new business via RFPs and direct sales, and harmonious and consistent handoff from sales to delivery.

Qualifications

  • 10+ years of operations and leadership experience, including time operating as a senior leader reporting to a COO or CEO.
  • At least half of those years in a digital agency or studio that builds websites, web apps, or custom software for clients (such as a web or digital design agency, software consultancy, or product studio), with 20 to 150 employees. Experience with WordPress and/or Drupal projects is a plus.
  • Direct experience leading the delivery of complex website and web application projects, including client interactions and relationships.
  • Demonstrated success building and running internal and people operations that supported profitable growth.
  • Proven leadership of a multi-team organization, with accountability for managing managers (not only individual contributors).
  • Exposure to revenue functions in an agency context.

Success Metrics

In the first 90 days:

  • Develop gap analysis of key areas for improvement and investment for the Company, with a focus on delivery.
  • Deliver a one-year project plan with a clearly prioritized set of initiatives to improve and enhance key functional areas that you lead.
  • Ownership of short-term and long-term forecasting.

In the first year:

  • Delivery: Project margin improved by 3 to 5 percent year over year. On-time and on-budget delivery measured consistently and trending up.
  • Operations: Utilization, capacity, and pipeline health measured and reported on a regular cadence, with clear targets in place.
  • Client operations: Gross and net client and revenue retention consistently measured and held at 90 to 95 percent. A growing roster of reference-able clients and strong client satisfaction scores.
  • People and culture: Top performers engaged and retained, with employee retention consistently measured and maintained.
  • Leadership: Development plans created for each direct report, with accountability for completion.
  • Revenue Functions (as the secondary mandate activates): A consistent, documented sales-to-delivery handoff, a clear business development process and operations, and timely, high-quality completion of estimates and proposals.

Location & Availability

  • This position is available for fully remote or hybrid work. Our office is located in sunny Los Angeles, CA.
  • We ask for core overlap from 9am to 3pm Pacific so the leadership team can collaborate in real time; the balance of the day is flexible across U.S. time zones.

Compensation

  • Total annual compensation $160,000-200,000 (salary + target bonus [based on company and personal performance])
  • Paid time off (20 days off)
  • Holiday time off (10 days per year).
  • Health, Dental and Vision insurance (95% employer-paid for you).
  • Company-sponsored 401(k) plan with employer match (after 90 days).

Operations Business Operations Associate at LeafLink

Executes cross-functional operational projects, analyzes data to optimize business processes, and implements systems across marketplace and banking offerings.

What this role involves

About LeafLink

We are one platform, one solution and we’re defining the way thousands of cannabis brands, distributors, and retailers streamline their operations. With thousands of brands and retailers across 30+ markets in North America, we are setting the industry standard for how cannabis businesses grow together. LeafLink processes more than $5 billion in wholesale cannabis orders annually.

Our team, backed by funding from leading VC’s, including Founders Fund, Thrive Capital, Nosara Capital, and Lerer Hippeau is poised to define the cannabis supply chain through technology.  LeafLink was named one of Inc. 5000’s ‘Top 5000 Fastest-Growing Private Companies’; one of Fast Company’s ‘Top 10 Most Innovative Companies in Enterprise for 2020’, joining the ranks of Amazon, Slack, and VMWare; one of Built In NYC’s ‘Best Places to Work in 2021’; 2024 Fast Company’s Best WorkPlaces for Innovators for Banking, Finance, and Fintech category; 2024 Green Market Report Award for Best Fintech in cannabis - and we’re just getting started!

The Role

LeafLink is seeking a Business Operations Associate to work across an array of projects and cross-functional initiatives. Reporting directly to the Head of Business Operations, this role is highly versatile: you’ll parachute into different parts of the business, clean up messy flows and processes, and plug into systems to get them running smoothly. You are as comfortable diving into data to find answers as you are rolling up your sleeves to execute directly.

You’ll leverage both quantitative and qualitative data to shape strategy, drive decisions, and build buy-in across the organization. No task is too small: you don’t mind digging into disparate, messy, or incomplete data, and you frequently raise your hand to pick up projects in need of an owner. This individual will spend meaningful time on our core marketplace and banking offerings, so experience or exposure to those verticals is a plus.

The position is fully remote.

What You’ll Be Doing

  • Perform ad hoc market analyses and fill operational gaps
  • Assist in the development and maintenance of various SOPs and metrics for operations workflows, market launches, revenue-generating initiatives, and more

  • Communicate plans and outcomes to a broad range of internal stakeholders, both through written communications or presentations
  • Assist in identifying trends, patterns, and opportunities to enhance business performance and decision-making processes
  • Prepare biweekly reports on operational performance for key business lines, including marketplace and banking
  • Deep dive into data to identify trends, patterns, and opportunities, and translate findings into actionable recommendations

Senior Remote Team Leader — Accounting, Data & Operations

 Food Services Inc. — Wholesale meat and restaurant supply distributor based in Los Angeles, California
Remote Contractor Position
Compensation

Starting base compensation: $2,500 USD per month

This position includes opportunities for:

* Performance bonuses
* Responsibility-based increases
* Leadership increases
* Additional compensation for taking ownership of major business functions

A strong performer can grow the base compensation to approximately $3,000 per month within the first year, in addition to applicable performance bonuses.

Compensation growth will be based on measurable responsibility, performance, accuracy, leadership, and the ability to independently manage important areas of the business.

About the Role:

We are looking for a senior-level Accounting & Operations Team Leader who can take ownership of daily workflows, work independently, review the work of others, and turn business data into clear actions and decisions.

This is not a basic data-entry position.

We are looking for someone who can operate at a top 10% performance level — someone who can analyze, review, identify problems, follow up, and help improve the way the team works.

The right person should be comfortable managing both people and data in a fast-moving business environment.

Key Responsibilities

You will be responsible for helping lead and review daily accounting and operational workflows, including:

* Reviewing and analyzing large amounts of business and financial data
* Identifying errors, discrepancies, trends, and opportunities
* Reviewing team members’ work for accuracy and completion
* Purchase Order vs. Vendor Bill analysis
* Vendor pricing and quantity discrepancy review
* Accounts receivable and customer aging
* Vendor aging and accounts payable
* Inventory analysis and reconciliation
* Price updates and vendor price-list comparisons
* Creating and improving Excel reports and tracking systems
* Following up on unresolved issues until they are completed
* Helping organize team priorities and daily workflow
* Communicating clearly with management and team members
* Using AI and automation to reduce repetitive work and improve accuracy
* Developing better processes, controls, and reporting systems

We want someone who does more than complete a task. We expect you to understand the task, review the results, identify what is wrong, and recommend the next action.

Required Experience

Strong candidates should have professional experience with:

* QuickBooks
* Microsoft Excel — advanced level
* Financial data reconciliation
* Data analysis and reporting
* Purchase orders and vendor bills
* Accounts payable and/or accounts receivable
* Reviewing and auditing work for accuracy
* Managing multiple priorities
* Team leadership or senior-level responsibility
* Strong written and spoken English

You must also be comfortable working daily with:

* Zoom
* ClickUp
* QuickBooks
* Microsoft Excel / Google Sheets
* Remote desktop and cloud-based systems

AI & Automation Experience

We are especially interested in candidates who already understand how to use modern technology to improve their work.

Experience with any of the following is highly valued:

* ChatGPT or other AI tools
* AI-assisted data analysis
* Workflow automation
* Excel automation
* Macros
* Automated reporting
* Process improvement
* Building repeatable systems and procedures

You do not need to be a programmer, but you should understand how AI and automation can help a business work faster, more accurately, and with fewer manual steps.

Leadership Expectations

This is a Team Leader role.

You should be able to:

* Take ownership without waiting for constant instructions
* Review other team members’ work
* Identify mistakes before they become larger problems
* Prioritize tasks based on business importance
* Communicate problems clearly
* Follow up until issues are resolved
* Train and guide junior team members
* Keep management updated with meaningful information
* Separate urgent issues from routine tasks
* Look for opportunities to improve existing processes

We are looking for someone who asks:

“What does this data tell us, what is the problem, and what action should we take?”

—not simply:

“What task should I do next?”

Work Schedule

Monday through Saturday

8-hour shift per day

The position operates according to Pacific Time (Los Angeles), and candidates must be able to work consistently within the assigned schedule.

Because this is a remote leadership position, reliability, attendance, responsiveness, and availability during working hours are extremely important.

Equipment Requirements

You must have a professional remote-work setup capable of supporting all-day Zoom, QuickBooks, remote-hosted environments, Excel, ClickUp, and other business applications simultaneously.

Required:

* Business-class laptop or desktop
* Intel Core i7 / AMD Ryzen 7 or equivalent
* 32GB RAM minimum
* 1TB NVMe SSD preferred
* Dual monitors
* Reliable high-speed internet
* Wired Ethernet strongly preferred
* Quiet and professional workspace

Candidate Assessment

Before moving forward, qualified candidates will complete a practical assessment.

The workbook contains:

Sheet 1 — Purchase Order
Sheet 2 — Vendor Bill

Your assignment is to analyze the two documents and identify the differences, discrepancies, and anything else you believe management should know.

Assessment workbook:
https://docs.google.com/spreadsheets/d/1H2UFgxxF1DbBJvoYJFNCnyGY_WsRKqvU/edit?gid=1320818024#gid=1320818024

Assessment Rules

1. Do not delete or modify the original sheets.
2. Preserve all original sheets for audit purposes.
3. Do not convert formulas to values.
4. Your workbook must remain fully auditable.
5. Show your analysis, calculations, and logic inside the Excel file.
6. Do not simply identify differences — demonstrate how you think about the business impact and what should be reviewed or followed up on.

How to Apply

Operations Manager, Clinical Operations at Curai Health

Manages day-to-day execution of a 24/7 virtual primary care clinic, supervising non-clinician staff, optimizing clinician scheduling, and driving patient throughput and service levels.

Mid Remote Posted 3 days ago RemoteFirstJobs Product
What this role involves

At Curai, we believe that access to high-quality healthcare is a fundamental human right, not a privilege. Our mission is to radically transform healthcare by harnessing the power of artificial intelligence and clinical expertise to make care more affordable, accessible, and effective for everyone.

Curai Health is an AI-powered, virtual multispecialty primary care clinic on a mission to improve access to care at scale. As the pioneer in deploying machine learning into clinical workflows, Curai Health enables its dedicated, specially trained clinicians to deliver primary care to more people at a fraction of the cost. Easy-to-use and convenient, Curai Health partners with insurers and health systems to keep patients engaged in their care over time, improving health outcomes and reducing costs.

Our company is remote-first and we consider candidates across the United States. Our corporate office is located in San Francisco. This is a Curai Health, Inc. position.

About the Manager of Clinical Operations role

The Manager, Clinical Operations is a hands-on operational leader who owns the real-time execution of Curai Health’s 24x7x365 virtual primary care clinic, operating across 50 US states plus the District of Columbia. Reporting directly to the Chief Operating Officer, this leader runs the day-to-day engine of the clinic: directly supervising the non-clinician care team, owning clinician scheduling and coverage, and driving patient queue flow and throughput against defined service level agreements.

This is an execution-first role for someone who runs toward operational problems, makes fast decisions under pressure, and holds a high bar for throughput and quality at the same time. Because Curai is an AI-first company, this leader is expected to be genuinely comfortable in AI-forward workflows — actively using AI tools to improve their own productivity and to make the entire care team more efficient. The Manager, Clinical Operations works closely with the Medical Director and clinical leadership but is independently accountable for the operational levers that keep the clinic staffed, moving, and meeting its targets. The ideal candidate thrives in a fast-paced, technology-forward environment and is energized by keeping a live clinic running smoothly.

Team Supervision (Non-Clinician Care Team)

  • Directly supervise, coach, hire, onboard, and develop the non-clinician care team (medical assistants, prior authorization specialists, clinical operations specialists), setting performance expectations, quality standards, and productivity targets
  • Build a positive, accountable, high-performing remote team culture, serving as the primary escalation point during operating hours, while coaching the team to adopt AI tools that raise individual and team efficiency

Clinician Scheduling & Coverage

  • Own clinician scheduling and coverage planning across a 24x7x365 operation, building schedules across time zones, shifts, and visit types (async, live chat, audio-video), and managing PTO, shift swaps, and coverage gaps with clinical leadership
  • Coordinate real-time staffing decisions and surge coverage, using data and AI-enabled forecasting to anticipate near- and medium-term needs and flag capacity risks

Clinic Flow, Queue Management & Throughput

  • Own real-time patient queue management — monitoring, balancing, and prioritizing across visit types to meet SLAs — while driving throughput by reducing wait times, optimizing case distribution, and clearing backlogs
  • Identify bottlenecks and implement process and AI-driven improvements to speed up care without sacrificing quality, making same-day staffing/prioritization calls and partnering with clinicians to keep their path clear for patient care

AI-Forward Ways of Working & Innovation

  • Champion responsible, safe integration of AI tools into operational and care-team workflows, continuously identifying and rolling out AI-driven efficiencies while modeling AI use for personal productivity (reporting, analysis, communication, decision support)
  • Partner with Product, Engineering, and Data Science on tooling and automation, maintaining a growth mindset to rethink how work gets done as AI capabilities evolve

Performance, Metrics & Financial Stewardship

  • Develop, monitor, and report KPIs for clinic operations (SLA attainment, wait times, throughput, utilization, cost per visit), providing regular reporting and improvement recommendations to leadership
  • Staff to demand within budget, stewarding labor and operational costs to support the clinic’s annual operating plan

Cross-Functional Collaboration

  • Collaborate closely with the Medical Director, clinical leadership, Business Operations, and People Operations, and partner with Provider Operations on credentialing/licensing to support on-time starts and high-touch onboarding
  • Build strong, respectful relationships with clinicians to support satisfaction and retention, communicating clearly across clinical and non-clinical audiences

What You’ll Need

  • Bachelor’s degree required
  • 5-7 years of experience in clinical or healthcare operations, including direct experience running the day-to-day operations of a clinic or medical group
  • 3+ years of people leadership experience directly supervising non-clinician staff (e.g., medical assistants, prior authorization specialists, clinical operations specialists)
  • Demonstrated ownership of clinician scheduling/coverage and/or real-time queue and throughput management
  • Proven track record of improving operational KPIs (SLA attainment, throughput, utilization) in a fast-paced environment
  • Comfort and enthusiasm working in AI-forward workflows, with a demonstrated ability to use AI tools to improve personal and team efficiency
  • Comfort working in a 24x7x365 care delivery operation, including outside traditional business hours when required by the needs of the medical group
  • Demonstrated success leading in a fully remote environment and collaborating cross-functionally

Preferred

  • Master’s degree in healthcare administration, business, or a related field
  • Experience in telehealth, virtual care, or digital health
  • Experience in high-growth, rapidly scaling organizations
  • Experience with workforce management and scheduling tools
  • Hands-on experience deploying AI tools or automation to improve operational workflows

Salary: $140k-$150k/year

Compensation: The pay range listed for this position reflects what Curai Health reasonably and in good faith expects to pay at the time of posting. Actual base salary will depend on a variety of factors, including your qualifications and years of relevant experience.

Culture: A mission-driven team of talented colleagues who are committed to living our values, collaborating closely, and driving meaningful impact in healthcare.

Benefits:

  • Comprehensive medical, dental, and vision coverage
  • Flexible spending plans
  • Responsible Vacation Policy
  • 401k plan with employer matching
  • 100% remote — work from home

Curai Health is an equal opportunity employer and is deeply committed to building a diverse and inclusive workforce. In keeping with our beliefs and values, no employee or applicant will face discrimination or harassment based on race, color, ancestry, national origin, religion, age, gender, marital or domestic partner status, sexual orientation, gender identity, disability status, veteran status, or any other legally protected characteristic. To promote an equitable and bias-free workplace, we set competitive compensation packages for each position and do not negotiate on our offers. We are looking for mission-driven teammates who embody our core values and appreciate our transparent approach.

Operations IT & Platform Engineer at Centrifuge

Manages cloud infrastructure, CI/CD pipelines, user access, and daily IT operations for a fintech engineering organization across multiple blockchains.

Mid Remote Posted 3 days ago RemoteFirstJobs Product
What this role involves

At Centrifuge, we’re not just talking about tokenization; we’re making it real. In the past year alone, we’ve partnered with S&P Dow Jones Indices, announced the first tokenized S&P 500 Index Fund, brought Janus Henderson’s AAA CLO strategy onchain, and crossed $1.7B in TVL. We’re also well-funded, backed by leading investors such as ParaFi Capital, Greenfield, Circle Ventures, and Coinbase. We’re live across more than ten blockchains and building the open infrastructure for real-world assets at scale.

We’re looking for a hands-on IT & Platform Engineer to keep the systems behind all of this running smoothly. You’ll be the operational backbone of our engineering org, helping with cloud infrastructure, CI/CD, access management, and day-to-day platform work that keeps a fast-moving team shipping without friction. Working directly alongside our DevOps & Security lead, you’ll take real ownership of how we operate, from the requests that unblock people every day to the infrastructure projects that scale the platform. You’ll also work closely with Engineering to harden and evolve the systems that a growing base of institutional partners depends on.

The role

You’ll be the person who keeps a real production fintech protocol running day to day: handling the access requests, deployments, and infrastructure tasks that our engineering org depends on, and making sure nothing blocks the team from shipping. You’ll work directly with our DevOps & Security engineer in a small, high-trust team, taking ownership of the operational and platform work so it runs smoothly and predictably. You’ll touch more infrastructure in six months than most engineers see in three years, across GCP, Cloudflare, CI/CD, and multi-chain deployments. If you’re process-oriented, like owning systems and documentation, and want to build a serious platform/DevOps career in Web3, this is the role.

This is a hands-on platform and operations role. Day to day you’ll keep engineering and IT operations running; over time you’ll take on larger infrastructure projects end to end.

Essential Job Functions

  • Respond to and resolve daily support requests from the team (Slack, tickets): the fast-turnaround work that keeps everyone unblocked.
  • Manage user access and identity across the stack: Google Workspace, GitHub, Notion, 1Password, and other SaaS. Handle onboarding, offboarding, seats, licenses, and permissions.
  • Administer SaaS and tooling: account provisioning, license management, and vendor tools day to day.
  • Execute deployments and maintain CI/CD release pipelines (GitHub Actions across our repos).
  • Operate and maintain cloud infrastructure on GCP (Cloud Run, IAM, Cloud Functions) and Cloudflare (DNS, WAF, Access).
  • Create and maintain operational documentation and runbooks so common tasks are repeatable.
  • Build and run monitoring and alerting across our applications and backend services.
  • Take on infrastructure initiatives end to end: migrations, deprecations, environment hardening, and standing up hosting for new internal apps and databases.
  • Learn Web3/blockchain operations hands-on.
  • Work across European and US timezones in a fully remote, high-compliance environment where security and quality standards are high.

Tech stack: GCP, Cloudflare, GitHub Actions, Docker, Terraform, Python/Bash, plus Web3 tooling.

Education and experience

  • 3+ years in DevOps, platform, infrastructure, or strong IT/sysadmin roles.
  • Strong Linux/Unix fundamentals and scripting (Bash, Python).
  • Hands-on cloud experience (GCP ideal): Cloud Run, IAM, networking.
  • CI/CD experience, ideally GitHub Actions; solid Git/GitHub.
  • Comfortable owning Cloudflare, DNS, and web-layer security.
  • Excellent written English and a documentation-first, process-oriented mindset.
  • Comfortable working with AI-assisted tooling to move faster (we lean on it heavily).
  • Nice to have: Terraform/IaC, exposure to compliance frameworks (SOC2, ISO 27001), and curiosity about Web3/blockchain. Prior Web3 experience is a plus, not a requirement.

Working conditions

This is a full-time, permanent role. We work fully remote with a European base, generally around 09:00 to 17:00 local time, with the flexibility to overlap US hours when something needs it. There’s an annual learning budget for courses, conferences, and certifications, and the occasional out-of-hours moment when a production incident needs attention, typically only a handful of times a year and always with escalation support behind you.

Reasons to join

You’d own the operational backbone of a live fintech protocol with over $1B in real assets onchain, working directly alongside a senior DevOps and Security engineer, with room to grow into deeper infrastructure, security, and platform ownership. It’s hands-on Web3 and compliance-grade infrastructure experience you won’t get in many places, in a small, fast-moving, well-funded team, fully remote and flexible, with real autonomy over the systems you look after.

We may use AI tools to support parts of the hiring process, such as reviewing applications or assessing responses. These tools assist our team but do not replace human judgment; final hiring decisions are made by humans. If you’re excited about this role but your experience doesn’t line up with every point above, we still encourage you to apply.

We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses and identifying potential inconsistencies or verification signals in application materials based on available information. These tools assist our recruitment team but do not replace human judgment. Final hiring decisions are ultimately made by humans. Operations Real Time Analyst - Americas at Ashby

Manages real-time scheduling and coverage for a global support team, optimizing workforce allocation to meet SLAs while maintaining operational flexibility.

Mid Remote Posted 5 days ago RemoteFirstJobs Product
What this role involves

Hi! I’m Allie, Head of Support at Ashby. 👋 As our Support organization scales globally, one of the most critical levers for delivering an exceptional customer experience is making sure we have the right capacity, in the right places, at the right times, without sacrificing flexibility, quality, or humanity.

We recently hired our first Workforce Management Lead to build the forecasting and capacity-planning foundation for the team. Now we’re adding a Real Time Analyst to own the execution layer: turning those forecasts into thoughtful schedules and managing coverage in real time as the day unfolds.

This is not a traditional call-center WFM role. Our Support team is highly tenured, deeply technical, and made up of thoughtful practitioners who regularly contribute beyond tickets, partnering on projects, enabling self-service, shaping tooling, and influencing product direction. Your job is to keep coverage healthy and SLAs met while protecting the flexibility that lets this team do its best work. You’ll treat real-time management as an enabling function, not an adherence-policing exercise.

This role is for someone who loves the craft of scheduling and the fast pace of intraday management, is energized by live problem-solving, and sees patterns in real-time data that make the whole operation run smoother.

About This Role

As the Real Time Analyst, you’ll own scheduling and real-time analysis (RTA) for a global Support organization. You’ll partner closely with our WFM Lead, who owns long-range forecasting and capacity strategy, and translate those plans into practical schedules and live coverage decisions. Day-to-day, you’ll monitor how the team is tracking against plan, recommend and make real-time adjustments, and surface the intraday signals that keep us ahead of SLA risk.

Because our WFM function is still young, you’ll have significant influence over how scheduling and RTA operate at Ashby, setting up scalable, humane practices rather than inheriting rigid ones.

Role Responsibilities

Scheduling and Coverage Design

  • Build and maintain global schedules that align required coverage with our headcount, skills, and time zones, translating the WFM Lead’s capacity plans into workable day-to-day schedules.

  • Partner with Support Managers to evolve schedules as the team grows, regions expand, and needs change, including managing shift-change and time-off workflows.

  • Design coverage that supports SLA attainment while preserving the flexibility and autonomy our team values.

  • Account for skill distribution and routing so the right work reaches the right people.

Real-Time Analysis and Intraday Management

  • Monitor queues and team activity in real time, tracking how we’re pacing against schedule and SLA throughout the day.

  • Make and recommend live adjustments (re-prioritization, coverage shifts, breaks/offline time) to keep service levels healthy as volume and complexity fluctuate.

  • Spot intraday risks early and communicate them clearly, coordinating with Support Managers to respond without creating unnecessary alarm.

  • Manage real-time exceptions (spikes, outages, unplanned absences) with sound judgment and a calm, collaborative approach.

Data and Insights

  • Track team data and behaviors as inputs that improve planning, not as compliance metrics to enforce.

  • Build and maintain dashboards that give visibility into coverage health, intraday trends, and emerging risk.

  • Feed real-world scheduling and RTA learnings back to the WFM Lead to sharpen forecasts and capacity assumptions over time.

Cross-Functional Partnership

  • Partner closely with the WFM Lead, Support Managers, and Support Operations to keep coverage plans aligned with reality.

  • Act as a trusted, day-to-day point of contact for coverage questions and live adjustments.

  • Advocate for sustainable, human-centered scheduling decisions that scale with the business.

Role Requirements

Scheduling and Real-Time Management Expertise

  • Hands-on experience with scheduling and/or real-time/intraday management in a Support, CX, or technical services environment (e.g., WFM Analyst, RTA Analyst, or Scheduling Analyst).

  • Strong grasp of coverage strategies, adherence/shrinkage/occupancy/conformance concepts, and how they translate into daily service levels.

  • Comfort making sound real-time decisions with imperfect information and a fast clock.

Systems and Analytical Thinking

  • Highly analytical, able to read live data quickly and turn it into clear, actionable adjustments and recommendations.

  • Experience with WFM/scheduling tooling and comfort building or maintaining dashboards.

  • Familiarity working with Support metrics and SLAs in a nuanced, non-mechanical way.

Collaborative and People-Centered

  • Deep respect for the expertise of Support professionals and an appreciation for flexible, trust-based environments.

  • Strong communicator who can flag risk and coordinate live adjustments without reading as “policing.”

  • Comfortable partnering across managers and levels, and taking direction from the WFM Lead on strategy while owning the execution.

You Should Apply If:

  • You love the craft of scheduling and the pace of real-time coverage management.

  • You see WFM as an enabling function, not a policing one.

  • You’re energized by live problem-solving and making quick, well-reasoned calls under pressure.

  • You’re excited to partner with experienced, technical Support professionals who value autonomy and impact.

Operations Real Time Analyst - Americas at Ashby

Manages real-time scheduling, coverage planning, and workforce analytics for a global support organization to maintain SLAs and team flexibility.

  • You want to help shape how scheduling and RTA operate as Support scales, while partnering with a WFM Lead who owns the forecasting foundation.

You May Not Want to Apply If:

  • You’re looking for a traditional Support environment focused primarily on adherence enforcement.

  • You want to own long-range forecasting and capacity strategy end-to-end (that sits with our WFM Lead; this role is the scheduling + RTA partner to it).

  • You prefer fixed rules and static models over iteration, flexibility, and real-time judgment.

  • You’re uncomfortable operating in ambiguity or building structure where none yet exists.

  • You believe there’s one “correct” way to staff or schedule Support.
